Terms and Conditions:

CONSENT AND MEDICAL QUESTIONNAIRES 
  • The school/college acknowledges it is their responsibility to ensure that all participating teachers and students complete the necessary consent and medical questionnaires prior to the commencement of any outdoor education program. 
  • The school/college agrees to utilise the Kokoda Outdoor Education online portal for the completion of all consent and medical questionnaires. This includes providing accurate and up-to-date information for each participant. 
  • This information is to be lodged to us no later than two weeks prior to the start date of the camp booked.  If medical information is not received for students before the start date, Kokoda Outdoor Education reserves the right to refuse students entry into our facility and program.
  • Daily medication requirements of students are the responsibility of the school staff or of the student if self-managed.  Kokoda Outdoor Education staff will not be responsible for monitoring administration of any medication.
  • The school understands that failure to use the Kokoda Outdoor Education portal for completing consent and medical questionnaires will result in participants from the school not being covered under our public liability insurance. 
  • Kokoda Outdoor Education bears no responsibility for any liabilities, injuries, or damages incurred by participants from the school/college who have not completed their consent and medical questionnaires through our designated portal. 
GENERAL CONDITIONS OF HIRE 
  • Schools must ensure that each student group is accompanied by a responsible adult.  This is usually a teacher but occasionally schools may send a caregiver/parent.  All adults accompanying students are required to hold a valid Blue Card.
  • In addition to the group adults, schools are required to have a ‘roving’ teacher who will be able to assist when or as required.
  • During the camp, it is a requirement that all changes or incidents be directed through the program coordinator.
  • Mobile Phones are prohibited for students who are undertaking a program with Kokoda Outdoor Education.
  • Smoking or vaping is prohibited at all Kokoda Outdoor Education venues.
 
ARRIVAL/DEPARTURE 
  • Guests are requested to confirm via phone with the program coordinator when they are 30 minutes away on the day of arrival. (When driving through Boonah/Rathdowney depending on travel route for Camp Kokoda and Laidley for Kokoda Park).
  • All groups must adhere to arrival and departure times as agreed on your booking form.
  • At Kokoda Park, all groups are requested to clean and vacate the accommodation areas by 9:00am on departure day.  You may continue to use the facilities until the agreed departure time on your booking form.
  • At Camp Kokoda, staff arriving in personal vehicles will be required to leave them at the main gate area for the duration of camp.
EMERGENCY PROCEDURES 
  • Emergency/evacuation procedure notices are posted at all campsites and guests should make themselves familiar with these upon arrival at any campsite.
  • In the event of a medical emergency, the instructor with the group is required to provide first aid.  (All instructors are Wilderness First Aid qualified.)
  • Emergency Services will be coordinated through the program coordinator.
FIRE 
  • Fire extinguishers and blankets are located at every campsite and in all buildings.
  • Evacuation procedures and plan diagrams are located at every campsite and every building.
  • No fire or BBQ may be lit without the consent of Kokoda Outdoor Education Staff.  Fire restriction notices and total fire ban periods must be strictly observed.
PROPERTY  
  • All breakages and losses to property or equipment of Kokoda Outdoor Education are to be reported to management immediately.
  • All damage or lost equipment will be invoiced to the school and not to individual students.
  • Kokoda Outdoor Education will supply all necessary equipment for programs and as such takes no responsibility for the loss or damage to personal property.
  • Guests are only permitted to access the buildings to which they have been allocated.
  • All vehicle parking is strictly at the owner’s risk and only in areas as directed.
  • No guest is permitted to bring firearms, animals, or pets onto the property or to disturb the natural environment.
  • Garbage and recyclable materials are to be placed in designated areas.
  • All buildings at Kokoda Outdoor Education facilities are designated smoke free zones.
SLEEPING ACCOMMODATION   
  • At Camp Kokoda all students will be sleeping in tents, bivvies or under the stars as required by the program.
  • At Camp Kokoda school staff will be supplied with a tent and a mattress.
  • At Kokoda Park, students will be sleeping in dormitories unless a camp out night has been requested in the program.
  • Cabins or dormitories are not to be used for games or playing areas.  Mattresses and ladders are not to be moved.
  • No food or drink to be consumed in cabins or dormitories.
  • At our Kokoda Park venue, children under 9 years of age and students who sleepwalk are prohibited from using the top bunks.
FOOD AND DRINK  
  • Consumption of alcohol is not permitted at either Kokoda Outdoor Education venue.
  • All programs facilitated by Kokoda Outdoor Education are fully catered.  It is recommended that students do not bring any food with them to camp.
  • Any specific dietary requirements must be highlighted in the initial administrative documents.  Kokoda Outdoor Education will strive to provide for these special requirements; however, it cannot be guaranteed.
TELEPHONE  
  • Due to venue location, there is limited or no mobile phone reception.  Telstra customers have the most reliable reception at both venues.
  • Students are not permitted to use phones while on camp.
  • Kokoda Outdoor Education staff are to be informed of any calls for emergency services at the first practical opportunity.
FIRST AID   
  • All first aid, as far as practicable, be performed by a member of Kokoda Outdoor Education Staff.
  • All Kokoda Outdoor Education staff hold current Wilderness First Aid and CPR qualifications as part of their employment conditions.
  • Any incidents requiring first aid must be recorded on Kokoda Outdoor Education’s Incident Report’ forms and signed by staff and responsible teacher/adult with the group.
  • Kokoda Outdoor Education assumes First Aid responsibility for all uses of our facilities.
  • Kokoda Outdoor Education assumes no responsibility for first aid groups other than users of our programs.
ACTIVITY PROGRAMS/EQUIPMENT 
  • The use of any of Camp Kokoda or Kokoda Park’s specialist equipment, activities and facilities is limited to groups who have booked a program through Kokoda Outdoor Education staff.
  • The use of the swimming pool at Kokoda Park by student groups is limited to groups who are supervised by an adult.
  • Our activities are audited twice a year as part of our insurance requirements, and the Standards employed during review are:
AS NZS 1891- Standard for Fall Protection and Devices (all versions);
AS 4488- Industrial Rope Access Systems (all versions);
AS 2316.1 2021- Standard for Artificial Climbing Walls and Challenge Course Systems (rock Climbing Wall specific);
AS 2316.2.1 and AS 2316.2.2-2016- Australian Standard for artificial climbing walls and Challenge Course Systems (Challenge Course focus);
EN 15567 2015 parts 1 and 2- Specific Standards applicable to challenge ropes courses, developed in the European Union;
ACCT- Specific Standard applicable to challenge ropes course, developed in the United States;
AS 1657- Fixed Platforms and Walkways;
AS 2076- Wire Rope Grips and Uses;
AS 2759- Steel Wire Rope;
AS 4685- Playground Surfacing.
